Assets Suite

A major cost to a business is its assets. Physical assets, plant or equipment needs to be tracked and maintained. This can be either the business or a customer asset, and can be across many locations. It requires careful resource planning to maximise the available manpower and effective systems to automate and streamline processes.

Assets that require regular maintenance need to have maintenance cycles that generate work orders and identify resourcing. In addition inventory may need to be allocated and costs tracked.

Asset definition, maintenance cycles, resource allocation, cost tracking, work order creation and location tracking are all requirements for the management of assets or plant in a business. The Asset management module brings all of these elements together to provide management with a comprehensive system that is fully integrated with Inventory, Purchasing, and billing and costing.

Physical Assets

Assets can be defined with the categorisation of assets into groups as required. Classes define the nature of the asset included in the class, and the functions that apply to those assets. In addition information is maintained on ownership of the asset, purchase dates, warranty, etc. An asset can also be defined in a bill of materials structure so that component assets can be maintained individually if required.


The locations of assets can be defined and details of the relevant maintenance can be specified per location. Resources or work teams can automatically be assigned based on a location. The asset’s current location and status are always available.

Scheduled Maintanence

Maintenance cycles can be set up for assets. Each asset can have multiple cycles if required and these can be based on a number of criteria. Maintenance work, based on these cycles, can be scheduled and work orders/service requests automatically generated by the system as milestones are passed. The scheduled maintenance of assets can be based on usage, and this may include the number of hours a machine has been used, or the kilometres travelled, or time, such as annually, monthly or weekly. The scheduled maintenance cycle is linked to the asset and used to automatically generate work order/service requests based on the selected cycle.


The Asset Management suite can optionally integrate with Fixed Assets for depreciation management, Job Costing for maintenance work and Inventory for spare parts or exchanges. Customer information is accessed from the CRM Basics modules.
