From a systems and management perspective, not only does plant and equipment hire have to do financial and management accounts as other businesses do, but they also require to track costs and revenue for every hire agreement issued, and they have to manage plant and equipment maintenance. A tall order from a single system!

Our solution ensures there is tight and seamless integration between the Hire Agreement, Asset Management and Maintenance, and Scheduling of equipment. All from a single system that includes payroll, OH&S, multi-company/multi-currency, and other functions if required.

Unlike most Job Costing and Maintenance systems, these functions in Greentree can be designed and structured independently of, but directly linked to, the General Ledger. This allows your financial management and accounts to be designed to meet reporting requirements independently of the operational reporting requirements, yet remain online in real-time.

Greentree offers a comprehensive Financial Suite of modules that include all the standard accounting features you would expect of any accounting system, and many features not found in other systems such as GL Transaction Analysis that allows additional and selective multi-dimensional tracking of transaction at a level below the standard Chart of Accounts (i.e. to track FBT costs by person on GL Accounts associated with FBT expenditure, etc.)

Most hire companies that provide large equipment have a full book of Finance Loans and Leases, and the costs of financing the plant also needs to be reported against the relevant plant items.

Using MYOB Greentree’s Transaction Analysis module individual Finance/Lease Agreements are easily tracked and identified in the General ledger without the need to create new GL Accounts for each agreement. The finance arrangements of each agreement can be calculated independently, often using Excel as the tool of choice for many accountants, but stored in the General Ledger for reporting and to provide a single source of truth that is easily audited.

Simultaneously, acquisition costs are be recorded in the Fixed Asset register while finance and depreciation costs are reported against the individual equipment providing operational and maintenance departments a complete picture of any piece of equipment.

For Hire and Maintenance businesses Job Costing and Asset Management form the heart and lungs of the business. Strong Hire Agreement management with good Plant and Equipment utilisation is essential to bottom-line profitability.

Unlike most Job Cost systems, MYOB Greentree’s job costing has the flexibility to do plant cost management, client job management, and hire agreements all from within a single environment ensuring there is no double counting of costs or revenue, and importantly no revenue or costs are lost.

Profitability can be reported by plant, customer, hire agreement, or any other dimension that represents a Key Performance Indicator for your business.

Scheduling of Hire Agreements and Plant can be done directly by dragging and clicking on Greentree’s visual planner/scheduler.

Without working Plant and Equipment a hire business has no revenue. This makes tracking and keeping the plant and equipment in good working order essential.

In MYOB Greentree all asset can be assigned Work/Maintenance Cycles for scheduled maintenance and with associated parts ensuring the correct maintenance cycles are followed with the correct spare parts used.

Of course, unplanned maintenance and breakdown repairs can be created as required and scheduled alongside planned maintenance orders. Service crews can be assigned to service plant based on the plant location, or the type of service being done.

Any Asset can be broken in to child Assets (i.e. a Dump Truck can comprise of an Engine, Drive-chain, Body, etc.) and each child asset can be separated and tracked independently when needed. This allows say an engine to be tracked for its entire life regardless of how many pieces of plant it was part of.

Supply chain management is critical to ensure equipment is maintained on a tight schedule to maximise plant utilisation.

MYOB Greentree has an inventory module that not only manages simple analysis such as stock on hand, but includes capability to manage more advanced features such as stock supersessions, companion parts, and substitution.

At Addax we understand the complexities of stock consignment and supply contract processes that we integrate with Greentree’s Supply Chain modules. Using Greentree’s Asset Management module also allows the control and analysis of inventory requirements by plant and forward scheduling of inventory requirements.

Occupational Health and Safety is an important part of modern industry, and no more so than in an industry that works with potentially large and lethal plant and equipment.

For smaller operations a simple Incident Reporting register is required and for larger operations this needs to extend into a comprehensive incident process management solution to ensure every incident is processed consistently and completely based on the category and severity of the incident.

Simple Incident Reporting can be managed within the MYOB Greentree Occupational Health and Safety module, but when combined with Greentree’s Business Process Management and Service modules Greentree is able to apply consistent and comprehensive standards and reporting to any organisations OH&S policy.

This allows processes such as the following to be based on incident category and severity:
