Financial Management is core to all businesses and when providing Mechanical and Equipment Services this is complicated with the need to also manage costs at a job level.

Unlike most Job Cost systems, Greentree’s job costing can be designed and structured as loosely or tightly coupled to the General Ledger as your business requires. This allows your financial management and accounts to be designed to meet financial and accounting reporting requirements independently of the operational reporting requirements.

Greentree offers a comprehensive Financial Suite of modules that includes all the standard accounting features you would expect of any accounting system, and many features not found in other systems such as GL Transaction Analysis that allows additional and selective multi-dimensional tracking of transaction at a level below the standard Chart of Accounts (i.e. to track FBT costs by person on GL Accounts associated with FBT expenditure, etc.)

If your business also owns large plant items it is likely you also need to track Finance Loans and Leases, and the costs of financing the plant also needs to be reported against the relevant plant items.

Using MYOB Greentree’s Transaction Analysis module individual Finance/Lease Agreements are easily tracked and identified in the General ledger without the need of creating new GL Accounts for each agreement.  The finance arrangements of each agreement can be calculated independently, often using Excel as the tool of choice for many accountants, but stored in the General Ledger for reporting and to provide a single source of truth that is easily audited.

Simultaneously, acquisition costs are  be recorded in the Fixed Asset register while finance and depreciation costs are reported against individual ‘Plant’ jobs providing operational and maintenance departments a complete picture of any piece of equipment.

For Mechanical and Equipment Services businesses Job Costing and Asset Management is the heart of their business.

In MYOB Greentree these two components can be integrated into single system where work directly related to the customer is tracked in Jobs.  These Jobs can be as simple as a list of Jobs, or they can be broken down to an unlimited number of child/grand-child jobs, and the child/grand-child structure can go down to an unlimited number of levels.

Each Job can also be broken down to an unlimited number of Work Breakdown Structures (WBS) and each WBS can be limited to only allow selected cost types and employee groups.

Jobs and WBS structures can all be scheduled with start/end dates, percentage complete, and project completion management.  These features allow the automated calculation of earned revenue versus actual revenue to create revenue recognition entries allowing the business to report on actual compared to earned revenue, ‘S’ curve analysis etc.

In MYOB Greentree these two components can be integrated into single system where all the Plant and Equipment Management is tracked in Greentree’s Asset Management system.

Any Asset can be broken in to child Assets (i.e. a Dump Truck can comprise of an Engine, Drive-chain, Body, etc.) and each child asset can be separated and tracked independently when needed.  This allows say an engine to be tracked for it’s entire life regardless of how many pieces of plant it was part of.

Assets individually can be assigned Work/Maintenance Cycles and with associated parts ensuring the correct maintenance cycles are followed with the correct spare parts used.

Service crews can be assigned to service plant based on the plant location, or the type of service being done.

This functionality applies to all assets, regardless of the ownership of the asset, allowing organisations to manage their own assets, the assets of their customers, or even assets owned by a rental company but managed and serviced in-house.

Supply chain management is critical to ensure equipment is maintained on a tight schedule to maximise plant utilisation.  For remote operations the requirement for well planned and easily identified supply requirements is even more important.

MYOB Greentree has an inventory module that not only manages simple analysis such as stock on hand, but includes capability to manage more advanced features such as stock supersessions, companion parts, and substitution.

At Addax we understand the complexities of stock consignment and supply contract processes that we integrate with Greentree’s Supply Chain modules.  For overseas operations (and some local operations) Greentree also has an Import Costing module to track consolidated deliveries by shipment or container.  Naturally, it is all fully multi-currency capable.

Occupational Health and Safety is an important part of modern industry, and no more so than in an industry that works with large and potentially lethal plant and equipment.

For smaller operations a simple Incident Reporting register is required and for larger operations this needs to extend into a comprehensive incident process management solution to ensure every incident is processed consistently and completely based on the category and severity of the incident.

Simple Incident Reporting can be managed within the MYOB Greentree Occupational Health and Safety module, but when combined with Greentree’s Business Process Management and Service modules Greentree is able to apply consistent and comprehensive standards and reporting to any organisations OH&S policy.

This allows processes such as the following to be based on incident category and severity:

  • Incident Recording (including through a Web Portal)
  • Email, SMS, and Desktop Alerts and Notifications.
