Making complex awards simple

Busways operates a fleet of around 760 buses running passenger service routes in areas of Sydney metro, Central Coast and on the NSW North Coast. They are one of the largest family-owned bus companies in Australia. Busways employs over 1500 people including drivers, mechanics, panel beaters and operational and administrative staff across 16 depots and head office.

Confronted with an immediate need to automate the interpretation of its complex awards, Busways deployed MYOB Greentree and the Award Interpreter Application.

Problem Multiple systems and an inaccurate result.

Busways Group needed a seamless solution to understand and interpret the two complex Enterprise Agreements for its 1140 bus drivers and flexible enough to adapt to any future opportunities.

The previous systems included a rostering and timesheet interpretation solution which sent pay lines to an external Payroll system. Finance was accommodated in yet another system and required weekly journals based on the payroll system data. All these systems were outdated and needed upgrading and a decision was made to purchase MYOB Greentree to replace Finance, Payroll as well as timesheet interpretation.

Lynn Craft, IT Software Project Administrator, Busways explains, “Our old home-grown system was running the timesheets for the drivers and the shifts. Then it was interpreting that work and sending it through to the old payroll system called DATASPEED as an interpreted timesheet.” The problem was that the result was not accurate or reliable.

“We had five people working in the Payroll Department, they would have to physically go through every pay run and make changes in order to get as close as possible to an accurate result”.

Solution Driving change in Payroll.

The move to a sophisticated Award Interpreter that works seamlessly with MYOB Greentree Payroll was a no brainer for Busways. “We really like the tool, it has been instrumental for driving change in our business”. 

Lynn tells, “An important thing now is that we can do the Award Interpreter work ourselves”.

The Award Interpreter has evolved since its original deployment. Busways have worked closely with the developer behind the application over the years. “Because our awards are so complex, users can be assured the application really can handle anything.” Lynn says.

The Award Interpreter has been built with the user in mind, delivering greater transparency and control to interpreting complex awards.

“Some of our award conditions are incredibly perplexing, now we can tweak the interpreter very easily until we know it’s perfect. We shouldn’t need to touch it unless the award itself changes.”

“After timesheets are approved, Payroll simply push the timesheet batches through the Award Interpreter and then confidently process the pays. Leave lines are automatically checked and edited where needed by the Award Interpreter and of course all payroll journals are now automatic”.

Outcome Responding to change is now easy.

With the shortfalls of previous interpreters, there was initially some resistance by staff. Lynn tells, “it was really just about confidence, this is a challenge for any company that has been around for a while”.

Accuracy is now guaranteed; the Finance Manager and Payroll Department are confident in the Award Interpreter Application. “The Operations Department who manage the drivers are confident that the tool is accurately interpreting their timesheets”.

The Award Interpreter ensures that enquiries from the employees are now able to be answered in detail too. In fact, the number of questions around payroll accuracy has decreased.

The team are now planning to extend its use for all employees and not just the drivers.

Responding to change is now easy for Busways. The management team are confident that the business could quickly respond if they were to win a new contract in Australia or Internationally. Lynn says, “The Award Interpreter really is so flexible, we as a business could comfortably take on more staff under multiple new award conditions should we win new contracts”.

“Once you start using the Award Interpreter Application, you realise you don’t need to be a business systems expert”.
